About the role
Reporting directly to the General Manager, this full-time role will see the successful candidate provide high-level administrative support to the General Manager and the Governance Department. You will be involved in a variety of tasks including preparing high level correspondence, reports for Council and other stakeholders, and a wide variety of other documents. You will be involved in the administration for Council meetings and workshops, including being available to prepare agendas and take and prepare minutes for publication. This role also includes providing leave relief for the Executive Assistant and Executive & Communications Officer.
Key responsibilities include:
Provide high-level administrative support to the General Manager and Governance Department.
Assist with the preparation of correspondence, reports, and other documents.
Produce documents by researching, transcribing, formatting, inputting, editing, retrieving, and copying.
Assist with the coordination and preparation of new Councillor orientation documentation.
Prepare presentation documents and PowerPoint presentations on behalf of Council to Government, other organisations, and special interest groups.
Undertake research on specific subject matters, as directed by the General Manager.
Oversee and participate in specific project research, including supporting other departments, writing grant applications, and preparing reports to Council.
Assist with the development and review of Council policies and by-laws.
Participate in and coordinate various projects to ensure deadlines are met, including Council’s Annual Report, Annual Plan, and Strategic Plan.
Provide high-level administration support and project support to District Committees and special sub-committees as required.
Assist and coordinate with the holding of Council and elected member functions and events as required.
Provide leave relief for the Executive Assistant and Executive & Communications Officer, including preparing agendas and minutes of Council meetings and workshops, managing Council’s social media accounts, and preparing media releases.
This role is based in Longford and requires full time on-site attendance, as well as occasional requirement to be available during monthly Council meetings and workshops outside of ordinary business hours on the scheduled Monday meetings.
About you
You will be resourceful, highly motivated, and have a patient and empathetic approach to dealing with internal customers. You will have exceptional written and verbal communication skills and be good at communicating with people with varying levels of knowledge. You will have significant experience in high-level administrative roles and a strong understanding of local government operations.
Our ideal applicant will:
Have 10 years or more of experience in a similar high-level administrative position.
Hold a recognised tertiary qualification and/or experience in legal, paralegal, or public policy (desirable).
Have significant experience producing high-level correspondence, reports, and presentations for internal and external audiences.
Have experience with agenda preparation and minute taking at an executive level.
Have a working knowledge and understanding of applicable legislation.
Have people management experience.
Have a current driver’s licence.
Have exceptional written and verbal communication skills.
Have exceptional attention to detail and the ability to readily identify errors in spelling, formatting and grammar.
Have the capacity to work autonomously and in a team environment.
Have a proven ability to analyse situations, problem solve, and make decisions.
Have excellent time management skills with the ability to identify priorities and adjust workload accordingly.
Have the ability to maintain a high level of confidentiality.
Have proven competency in preparing detailed correspondence, reports, and submissions.
Have demonstrated proficiency in the Microsoft Office suite.
